The National Privacy Principles established by the Privacy Act 1988 (commonwealth) apply to Balanced bookkeepers.

 

Balanced Bookkeepers is committed to respecting your right to privacy and protecting your personal information.  We are also bound by the privacy laws and requirements of other organisations and departments where there is a requirement for sharing or gathering of your personal information (ATO, Barter trade organisations, Accountants, Tasmanian Collection Service, etc).

 

Our team are trained to respect your privacy in accordance with our standards, policies and procedures.   We only seek to obtain information that is required for completion of the work that you have contracted us for (as per your client agreement).

 

Balanced Bookkeepers will hold and use your Personal Information for:

  • Identifying you as a client

  • Providing service to you as agreed within your client agreement

  • Assist you in assessment and change implementation for the benefit of your business

  • Fulfill legal and regulatory obligations as required by agency bodies whom we provide your information to (with your consent)

  • Undertake actions on your behalf at your request

 

We may also use your personal information to communicate with you in the following ways:

  • Provide you with information that we feel may assist you in the management of your business

  • Share initiatives and send you information on our products and services

  • Share information relating to our Professional Partners

 

Disclosure of your Personal Information:

  • We will disclose your information for purposes where we are required in order to undertake work on your behalf

  • If we require additional personal information for use in undertaking an action on your behalf (lodgement of documentation, enquiries managed on your behalf) we will require written authority from you to do that (unless the information is not able to be specifically linked to you).

 

Contractors:

We engage contractors to undertake some of our work.  These people are required to read and comply with the privacy principles, standards and expectations of this business and of the Privacy Act 1988.

 

We also have contractors that attend our premises to undertake work for us such as IT contractors, electricians etc.  We will make every effort to ensure that your personal information is protected.

 

The accuracy of your information:

The accuracy of the information that we hold about you is dependent on the information that you provide to us.  We rely on you to update us with information that changes, ie your postal address, email or account details (where we may receive live bank feeds).

 

Security of your personal information:

We file and store your personal information in hard copy files as well as electronically.  Once we have no further requirement for your information we will notify you and hold that information until such time as it is collected by you.  Online files are archived and held on our server until such time as there is no legislated requirement for us to have copies or where that information is provided to yourself or a nominated third party.

 

Access to your information:

You have complete access to all the information we keep on your file at all times.  Due to the large size of some of our files, we request that if you want access to or a copy of your entire file, we are provided with at least 48 hours notice.  Your information may be provided to organisations that have a legal entitlement to the information or have obtained a legal right to access (ie a subpoena).

We would refuse access to information that could breach the privacy of another individual.
